RPM Group is seeking the ideal candidate to join our team as a Residential Coordinator.  This position will work out of our Midtown residential sales office in Little Rock.  The ideal candidate must have a friendly and outgoing, yet professional, personality.  Attention to detail, the ability to work with a wide variety of personalities, and previous admin/clerical and data entry experience will be required of this position.  Previous real estate experience is a plus but not required.

WHAT THIS POSITION ENTAILS:

The Residential Coordinator is responsible for assisting real estate agents with administrative/clerical activities, maintaining real estate files in accordance with regulations, and working within organizational policies and procedures to ensure efficient operations.

SOME ESSENTIAL FUNCTIONS OF THE POSITION:

  • Works cooperatively, using positive communication to complete work assignments.
  • Accurately input all new listings and changes/updates to current listings in the MLS and Lone Wolf systems. 
  • Provide agents with a detailed MLS report for each new listing to be reviewed for errors.  Make any changes/corrections in MLS and other related systems. 
  • Place home warranty on all RPM listings as requested by the seller per the contract.
  • Prepare and mail “Thank You” letters (signed by broker) to all new sellers.  Including a copy of the listing documents and home warranty information, if applicable.
  • Oversee usage of digital camera; ensuring it is kept is good working condition with a fully charged battery.  The camera should be checked in and out by agents, as needed.
  • Assist agents with transfer of photos from the digital camera to computer files.  Upload corresponding photos to property listing in MLS within fourteen (14) days of entry into the MLS system.
  •  Notify agents by phone of all important incoming faxes and offers.
  • Ensure completeness, organization, and security of all residential files to comply with AREC regulations.  This includes obtaining all necessary broker signatures and appropriate disclosures.  Scan all documents into electronic file, using DocuManager, as they are made available. 
  • Assist in closing process by faxing/emailing all necessary paperwork to title, mortgage, and termite companies.  Order termite clearance letters for all RPM listings.
  • Provide the RPM Closing Department with a completed Closing Information Sheet and any additional pertinent information so commission checks may be properly calculated and issued.
  • Maintain all closed, expired, and withdrawn files in a secure manner within the office, ensuring compliance with AREC regulations.
  • Generate and distribute weekly and monthly activity reports that include transactions, listings, closings, etc. to the office broker.
  • Maintain adequate supply of all realtor forms, making them readily accessible to the agents.
  • Assist agents with technology questions/issues by developing a strong operational knowledge of office equipment including phones, fax machines, copiers, scanners, and personal computers.
  • Provide direct administrative support and assistance to office broker, as needed.
